JOB SUMMARY 

The Receiving Specialist is responsible for reviewing, entering, analyzing, and controlling the accuracy of inventory transaction data to update and maintain computerized records in support of overall supply chain activities. Ensures the accuracy of deliveries against packing slips and purchase orders prior to receiving material into the ERP system. Generates inventory transactions for material movement as required.  Participates in physical inventory and cycle counting activities as needed, assists with identifying causes of discrepancies, and presents findings to the supervisor for reconciliation. Compile and analyze data, and create and prepare any range of periodic and special reports for use in supply chain planning and management.

KEY RESPONSIBILITIES & ACCOUNTABILITIES 

  • Ensure the accuracy of deliveries by reviewing the physical materials and supplies delivered against their pack slips, delivery tickets, and invoices. Then comparing against their corresponding purchase orders, and receiving the material into an ERP system in a timely manner along with any associated Landed Cost documentation entries that may be required.  
  • Ensure accuracy between physical inventory and computer system records by assisting with spot counts and cycle counts, investigating discrepancies, and providing detailed documentation of inventory adjustments needed to resolve the discrepancies.

  • Prepare and maintain detailed inventory movement reports on a daily, weekly, and monthly basis. 

  • Assist Material Handlers in the issuing of outgoing materials, unloading of deliveries, and opening of boxes to verify the material received. 

  • Review outgoing material entries daily for coding accuracy, alert material handlers or supervisor of any discrepancies to resolve prior to scheduled release in the system. 

  • Complete tasks such as receiving, returns, inventory transfers, inventory issuing, item request processing, record updating, and data entry.

  • Communicate with the Purchasing and Accounting teams concerning discrepancies in deliveries, purchases, coding, and/or billing.

  • Communicate with vendors and company personnel to confirm accuracy on off-site deliveries and inventory movement for materials stored outside of our primary warehouse location. 

  • Direct delivery drivers to designated locations for offload. 

  • Assist Manager with Month-end inventory report generation, review, and reconciliation.

  • Serves a secondary function as backup personnel to the warehouse team at a limited capacity when additional personnel is needed.

QUALIFICATIONS 

  • Associate’s degree or 3+ years of applied experience in Shipping & Receiving, Inventory Control, Accounting or related field.
  • English Fluency is Required. Bilingual (English/Spanish) a plus.

  • Computer proficiency: Microsoft Office/Google Suite applications, Prior ERP or MRP Software Experience required

  • Must enjoy working in a team environment with the ability to collaborate and communicate effectively with team members to achieve goals and contribute to a positive and productive work atmosphere.  

  • Must possess: a strong work ethic, excellent attention to detail and commitment to accuracy, proven ability to manage multiple tasks and priorities effectively, excellent organizational skills, and a focused results-driven mindset. 

HOURS OF WORK 

 

This is a full-time position. Monday through Friday 7:30am-4:00pm, start and end times may vary slightly depending on organizational needs. Occasional evening or weekend work may be required as job duties demand or during severe weather events.

This position requires a flexible work environment, with time split between a professional office setting and an active warehouse along with outdoor storage areas. Office work includes standard use of computers, phones, and other typical business equipment in a climate-controlled environment. Time spent in the warehouse or outdoor storage locations involves exposure to varying  weather conditions, moving equipment, and may require standing, walking, lifting, or operating machinery. Some functions of this role  will require the use of standard warehouse equipment such as utility knives, tape guns, pallet jacks, and forklifts. Proper safety protocols and personal protective equipment (PPE) are provided and must be followed at all times.
