Purchasing Administrator
JOB SUMMARY
This is a key position with one of the company’s fastest growing profit centers. You will work on a collaborative team with the mission to grow our green-goods brokerage business. You will collaborate with the sales team, logistics team, and your teammates on the outsourcing team to purchase material for resale. Your role will be to order material to replenish stock inventory items and special orders. In addition, you will be accountable for the daily administration of the outsourcing department and process improvement of our purchasing, receiving and inventory control processes.

KEY RESPONSIBILITIES & ACCOUNTABILITIES

Purchase material for replenishment of stock items
- Review system generated purchasing needs and adjust as necessary
- Coordinate with the sales team for special orders, CSP orders, drop shipments…
- Send request for quotes to vendors
- Helps to analyze inventory levels to determine optimal ordering quantities
- Select best vendors for purchase according to price, quality, availability and logistics
- Issue Purchase Orders for purchase
- Coordinate with Logistics to arrange shipment
- Notify receiving team and sales team of material to farm schedule
- Ensure all item codes are correctly set up to receive material

Process Improvement
- Routinely audit OSCE purchasing, receiving and sales processes for compliance, accuracy and efficiency
- Identify opportunities for training of team members on OSCE purchasing, receiving and sales processes
- Identify opportunities to improve processes
- Maintain current documentation of processes and standard operating procedures.

Oversee the delivery of service to internal customers in Construction and Maintenance teams
- Meet with Construction and Maintenance stakeholders to identify needs and expectations
- Review OSCE and Sales processes related to Construction and Maintenance
- Coordinate and supervise the work of team members involved in the fulfillment of Construction and Maintenance orders.

Coordinate administration of Marketing Agreements
- Track and manage deposits
- Ensure accurate and appropriate reporting is being provided to Marketing Agreement partners
- Assist in gathering information and preparing annual budgets for Marketing Agreements
- Contract and document administration - contract agreements are up to date, properly filed and shared with all parties.
QUALIFICATIONS
- Bachelor degree or higher
- 2+ years experience working in purchasing or warehouse management
- Basic knowledge of ornamental plants a plus
- Purchasing knowledge of principles, practices, and techniques. Must possess demonstrated analytical abilities and be able to develop logical solutions to opportunities as they develop.
HOURS OF WORK
This is a full-time position. Days and hours of work are Monday through Friday, 40+ hours per week. Occasional evening and weekend work may be required as job duties demand.
This role routinely uses standard office equipment such as laptop computers, photocopiers and smartphones.
