JOB SUMMARY 

The Office Administrator opening is an exciting opportunity for an individual to join the team of one of Central Florida’s fastest growing companies. They will coordinate office activities and operations while providing clerical and administrative support to management. They will be responsible for handling a variety of administrative tasks, including office supply management, answering and routing phone calls, greeting clients and visitors, and assisting with project based tasks.  This position is part of the Marketing Department team and as such will assist with entering and managing data inside the Customer Relationship Management Software, updating internal communication outlets, administer customer satisfaction surveys, maintain photo databases, and organize programs for employee branded apparel.

The ideal candidate for the role is a flexible problem solver with strong communication skills and a detail-oriented mindset. He/she should be able to multi-task and have prior experience in an administrative capacity in an office environment. 

To be successful in this role, the candidate will need excellent written and verbal communication skills, strong organizational skills, and proficiency in Microsoft Office (Word, Excel, Powerpoint) and/or the GSuite (Sheets, Docs, Slides). This job requires working to ensure both routine and project-based tasks are completed in a timely manner.


KEY RESPONSIBILITIES & ACCOUNTABILITIES 

  • Greet and assist customers and guests in a professional manner providing for a good first impression, projecting the Cherrylake image of quality and service.  Announce and direct guests to Cherrylake Staff.

  • Answer, screen, and forward incoming phone calls.

  • Track, replace, and organize office supplies as necessary. 

  • Route and sort incoming mail as well as create shipping labels and send out packages and letters. Date stamp received mail and envelopes; distributed to appropriate departments. Maintain confidentiality.

  • Maintain customer and account information accurately in CRM.

  • Update and maintain photo databases.

  • Administration of customer satisfaction surveys.

  • Assist with email communications to customers, vendors, and partners.

  • Assist with coordination of trade shows, customer events, employee events, and conferences.

  • Prepare for customer appointments by setting up the conference rooms with whatever is necessary for the meeting.

  • Update the Employee Portal to showcase birthdays, anniversaries, and company announcements.

  • Maintain a clean and professional appearance of the lobby area.

  • Assist with marketing functions as directed. 

  • All other duties as assigned.


QUALIFICATIONS 

  • High School graduate or GED equivalent required.  College, technical or vocational training desirable. Some advanced training or specialized training in secretarial or administrative fields.

  • Minimum of one year experience working in an administrative position within an office environment.  

  • Highly organized, detail oriented with capability of prioritizing and managing multiple projects and tasks at once.

  • Ability to work on last minute, high urgency projects.

  • Proficient in Microsoft Office and/or the GSuite (Word, Excel, Powerpoint).

  • Good communication skills, both written and verbal.  Ability to articulate well with a variety of departments.

  • Professional appearance with ability to work in a fast paced environment, maintaining a high degree of organization and quality.

  • Past experience with MailChimp, ActiveCampaign, and/or a CRM database a plus.

  • Working knowledge of Adobe Photoshop/InDesign/Illustrator/Dreamweaver and/or Wordpress a plus.

  • Proficient Spanish language skills a plus.

 

REQUIRED LICENSES / HOURS OF WORK 

Monday through Friday (8:00 am - 5:00 pm). May be required to work overtime during peak times.
